Controlled documentation

Well-managed documentation that doesn’t end up as a paper dragon

The traditional approach is: write a policy, have it approved, convert it to PDF, and save it to a shared storage location or a traditional DMS. This creates a “paper dragon” that looks impressive on the surface, but burns up at the first real crisis because it’s just a passive file: it’s often difficult for readers to figure out how it’s linked to processes, who’s actually supposed to follow it, and whether it’s still valid. A PDF is merely a passive, inconvenient, outdated medium for information—not the essence of controlled documentation. The real value lies not in the file itself, but in the data the document contains—so don’t stick with the traditional approach. In ATTIS, a document is created directly in the built-in editor and is linked to processes, risks, quality, and other system objects. This makes it much more transparent and understandable to users than if it were just a file that was saved and forgotten.

  • A built-in editor comes standard, not PDF —documents are created and maintained directly in ATTIS, linked to the data, rather than as a standalone file to be uploaded and forgotten. (Importing external files remains possible where necessary.)
  • Link to roles, processes, projects, and tasks —the document is understandable in the context of real-world practice, not as an isolated text.
  • Link to specific requirements of quality standards (e.g., ISO)—a reference to a specific clause of the standard, not general compliance.
  • Active Distribution to the Personal Page – Employees see only documents relevant to their work, without having to search through shared doc
  • Search by meaning, not by words —traditional full-text search finds a document only if you know the right keyword, and it knows nothing about the document’s content. The ATTIS AI assistant understands both content and context: when asked, “What should we do in the event of a water outage in the department?” it will respond in accordance with current regulations and indicate which process and role the issue pertains to. • text messages and emails.

Managed documentation that automatically monitors its own validity

When monitoring the validity of dozens of directives based on secondary records, it’s only a matter of time before something is overlooked—and then it’s up to the auditor to deal with it. ATTIS takes care of this on its own.

  • Clear roles—sponsor, owner, editor, and approver —for every document—it’s always clear who is responsible for what.
  • Automatic tracking of validity and reviews —the system automatically triggers the update workflow without the guarantor having to keep track of it in their calendar.
  • A guided workflow for creation and approval, featuring a “bulletin board” for comments and suggestions.
  • Bulk notifications and mandatory acknowledgment via tasks with an audit trail —replaces traditional signature sheets and the “nightmare” of tracking acknowledgments, without wasting your ROI on working hours chasing down signatures.
